Record of Meeting 13 September 2021

Leigh on Mendip WI Meeting & AGM – Monday 13 September 2021 at 7.30pm

Mary was very pleased to welcome everyone and thanked them for following our COVID safety guidelines.

Record of last meeting held on 9 August:  Agreed by those who were present and signed as a true record.

Matters arising/feedback:

Mary sent out information and dates (including SCFWI AGM 6 Nov Yeovil, Christmas Meal 6 Dec, Carol Festival 8 Dec Wells) prior to this meeting and some can be covered in our October meeting.

·         National Raffle tickets on sale tonight - £1.  Please give Sue D your money this evening.

·         Calendar & Diary orders and money to Sue D this evening.

·         August speaker Emma Britton – members agreed excellent.  Very entertaining.

·         Village Fun Day - thanks to all those who made cakes and helped on our refreshment stall before and on the day. There should be a picture of one shift in the next Mendip Times.

·         We have now produced some promotional materials (Edwina and Caroline) and flyers have been delivered to all the newish residents. Please speak to those ladies who you feel may be interested in the WI.

Forthcoming events:

·         Future meetings - We need volunteers to help with refreshments and pre/after clean of chairs, tables, switches etc for Oct/Nov/Dec. Please see Sue D afterwards to choose a slot as Committee cannot do everything! 

·         October Meeting - Speaker is John Dando on “A Walk up the Garden Path” (Privies - a light-hearted history of the toilet!)

·         Potential name change – majority of members interested in suggestions for a new name.  Please come with ideas next month, when we will do a majority vote.  If we choose to go ahead then the name has to be put forward to County for a final decision.

·         2022 Programme Planning meeting – Monday 18th October, 7.30pm on Zoom. Please let us have your ideas or speaker details before or on the night and let us know if you wish to join in online so we can forward the paperwork beforehand.

·         YMCA Shoebox appeal. Some donations tonight – otherwise must be next month please.  See your County News for ideas.  Also require shoeboxes either wrapped (lid separately) or we will wrap them (donations of Christmas paper appreciated).  Boxes have to be ready to be delivered to Yeovil for 6 November.

County News:  Items of note already covered.  Notified today that the Flower, Food & Craft Show 18 Sept has been cancelled.

Correspondence:   Nothing new to cover.

Treasurer’s report:    As at end of August: - Bank - £1861.76.  Includes £89.61 Coffee Morning, £90 Bursary, £60.38 from Frome Group.  We are in credit with the Hall for £116.50.

AOB: 

Bulb orders usually arrive mid Sept. Mary will be in touch to arrange collection/delivery once checked off.

CH re abseil event deferred to 2022.


AGM

Treasurer’s report:

Financial Statement for the Year ended 31/12/20 had been sent round by Sue Dunford in advance and copies available in the Hall tonight (see attached).  Receipts and Payments slightly down on previous year, mainly due to the Pandemic.  Receipts - £1437.90, Payments - £1456.09.  Deficit £18.19.  Cash funds carried forward £1614.22.  No questions.  Proposed:  Karen Stoneley,  Seconded Sue Vaughan.

Secretary’s Report:  Jan Pattison read out her Report from May 2020 to August 2021 (see attached).  Report adopted.

President’s Address:  Mary Mears read her report (see attached).  Thanked everyone for their involvement and support.  Membership at 34 – some have moved away and we welcome 3 new members. 

Re-election of Committee and Ballot for President:

Barbara Turner conducted the ballot.  MM standing down after  3 years in the role.  Committee members were asked to stand.  4 members were nominated – 3 declined.  Caroline Harris accepted the role.

Other WI Roles:

·         Thanks to Sue Vaughan for being our Press Officer for many years – standing down but many thanks for all she has done.  Edwina Davey has now taken on this role.

·         Raffle – Marguerite Cockroft has run this for a long time.  Kaz Wallace has offered to take it on (when we re-start in the new year) with help from Angela Plummer.

·         Birthday and Get Well Cards – Sue Dunford.

·         Hall Rep.  Role still to be filled.  Gill Baker is on Hall Committee but no longer wishes to be the WI rep.  Meetings are on the first Monday of the month which clashes with our WI Committee meetings so looking for a non-Committee member to undertake this role.

·         Fair Rep – will confirm with Jo Carter if she is willing to continue in this role.

·         Flowers – Mary Cheshire, Edwina Davey and Trish Preedy.

·         Blog – Jan Pattison and Mary Mears.  Hopefully, train someone else to be able to contribute articles.

Archive Material:

We record this annually. Currently held by Mary, including the cloth and bell.  Will be moved to new President at some point in the future.

A Quiz had been arranged by Caroline and members seated at their tables of 3 had fun in answering the questions in the 6 rounds.  Congratulations to the winning team – SV, KS & SD.  Refreshments were served and an opportunity to have a chat.
